KB-IN-00005a How to Publish, Unpublish, Clone and Archive a Survey

Introduction

In this article you will learn how to publish, unpublish, clone and archive surveys you have created.

How to Implement

To be able publish and unpublish surveys, you will need to have the Administrator and Survey Designer roles. You will also need to have a product assigned to your user i.e. Insight/Asset Inspector.

Publishing a Survey

If you have the above criteria navigate to the Survey Template section of the Admin Console. Here you will be able to see your existing surveys.

To publish a survey, you will want to press the red tick icon under the Actions column. You may have to scroll across to see this.

After ticking the red icon, a popup will appear on your screen. Click “OK”.

Once you have clicked this, click the blue Save button, and now the survey will be published and all users will be able to view it.

Unpublishing a Survey

To unpublish a survey, the survey must have first been published. To unpublish a survey, click the red backwards arrow icon under the Actions column (the icon on the right in the screenshot below).

A popup will appear on screen informing you the survey will go back to Draft status. Click “OK”.

Save the changes using the blue Save button in the top right of the screen, and the survey will be unpublished and set to Draft status.

Cloning a Survey

Cloning a survey will allow you to have a copy without needing to save the survey locally. To clone a survey, press the grey folded page icon (the icon on the left in the screenshot below).

After clicking the Clone button, you will be presented with the option to rename your cloned survey. Give the survey a name, then click “Clone”.

Click the blue Save button in the top right of the screen in order to save the new changes. The cloned survey will automatically have the status of Draft under the Status column, and will need to be republished.

Archiving a Survey

To archive a survey, it must first be published. There will be a red box icon under the Actions column that will allow you to archive surveys. Archiving is used to keep a template for later as you may have new versions but want to keep the original. To archive the survey simply press the red box icon (the icon in the middle in the screenshot below), followed by the blue Save button.

The survey’s status will now change to Archived under the Status column, and you only have the option to Clone it under the Actions column.
